AI voice bot for business: what it is, how it works and who it fits
An AI voice bot is software that holds a phone conversation in a human-sounding voice: it listens, understands what was said and answers in real time. Unlike a "press 1" menu, you can talk to it freely. This guide explains what such a bot really does, where it saves money and where you still need a person.
What a voice bot can do
A voice bot handles two kinds of calls. On outbound calls it dials a list of leads, introduces the business, asks questions and finds out whether there is interest. On inbound calls it answers the business line, gives information, takes details and transfers to a person when needed.
- Outbound: working through a lead file and filtering who fits.
- Inbound: an immediate answer, also at night and on weekends.
- Records: a summary, a transcript and a recording of every call.
- Transfer: handing the call to a person when the caller is ready or asks for one.
How it works behind the scenes
Three things happen in a row on every call: the caller's speech is turned into text, a language model decides what to answer according to its training, and the answer is turned back into a voice. All of it takes a fraction of a second, which is why the call feels natural.
The "training" is written in ordinary words: what the business does, how to open a call, what to ask, how to handle objections and what must never be said. No code is needed. See how to write a script for a voice bot.
Voice bot or IVR menu
An IVR is a menu: the caller picks a number and lands in a queue. A voice bot holds a conversation: the caller says what they need in their own words and gets an answer. The difference matters most on outbound calls, because nobody stays on the line for a recorded menu.
Who it fits, and who it does not
A voice bot pays off when there are many similar calls: long lead lists, questions that repeat, or a phone that rings when nobody can answer. It fits less for sensitive or complicated calls that need judgment. There it is better for the bot to filter and hand over to a person.
The approach that works best is a division of labor: the bot does the filtering, and the team talks only to people who already showed interest. We describe it in the guide on lead qualification calls.
What you need to start
- A phone number the bot calls from and answers on.
- Training: a description of the business, an opening line, a script and a definition of what counts as a lead.
- A lead list in an Excel or CSV file, for outbound calls.
- The consent of the people you call. See the rules of automated calling.
Questions and answers
Do callers notice they are talking to a bot?
Today's voices sound very natural, but our advice is not to hide it: an opening line that says it is a virtual assistant builds trust, and in some places the law requires it.
Which languages can a voice bot speak?
It depends on the system. ENIGMA Voice Bot speaks English and Hebrew today, and more languages can be added as custom development.
What does it cost?
Usually you pay by call minutes. With ENIGMA Voice Bot you buy packages of minutes, and outbound and inbound calls use the same package.
See it working on your own leads
ENIGMA Voice Bot calls the leads in your file, rates each one from 1 to 5 and keeps the recording and the transcript of every call.
